It explains how we comply with the EU’s GDPR (General Data Protection Regulation) legislation and the DPA (Data Protection Act). This website, hannahfordphotography.co.uk, collects private user data using the following forms throughout the website: Contact Form – hannahfordphotography.co.uk/contact-us which generates emails sent to: hannahfordphotography@outlook.com The data from these forms is emailed to the address listed above and also stored on the website server, in most cases dating back to when each form was created. The website server is accessible by the website administrators for hannahfordphotography.co.uk at https://godaddy.com

Hannah Ford Photography creates a client gallery for each client to whom photos are delivered as part of the services contracted. Hannah Ford Photography client gallery are shared to you via; https://WeTransfer.com. All images are shared privately between you, the client, and Hannah Ford Photography. Once a Gallery link has been sent, photos will be stored on a secured password protected hard drive for 6 months. Hannah Ford Photography will request the right to use any client photos on social media, website and/or advertisement prior to use.

We take care over the processes around looking after personal data stored on our physical systems. Hannah Ford Photography holds the following personal data of clients: i)names ii)addresses iii)phone numbers within soft copy and sometimes hard copy contracts. Soft copy contracts are safely stored within my password protected home office computer and backed up to external hard drives. An additional cloud copy of all images is stored on GDPR compliant Dropbox.

Under GDPR legislation, a photograph may in some instances constitute a form of personal data where they can be processed to allow “the unique identification or authentication of a natural person”. Hannah Ford Photography will never photograph an individual as a means of unique identification or authentication unless consensually contracted to do so. In terms of explicit GDPR compliance, clients are photographed within the parameters of GDPR legislation on the basis of ‘legitimate interests’.

We adopt a safe and responsible Social Media Policy. While we may have official profiles on social media platforms users are advised to verify the authenticity of such profiles before engaging with, or sharing information with such profiles. We will never ask for personal details on social media platforms. Users are advised to conduct themselves appropriately when engaging with us on social media.

We may display any photographs to promote Hannah Ford Photography on the Hannah Ford Photography website and blog, on social media, on New Born blogs, on New Born photography related websites, in exhibitions, in advertising, brochures, magazine articles and other such material, providing that the images used are used lawfully and without damage to Hannah Ford Photography’s client(s). The rights of the people captured in these photographs are protected by Hannah Ford Photography as detailed in this privacy policy. 

WORKING SAFELY DURING COVID-19

I understand how important it is to work safely during the COVID-19 pandemic and want to reassure all clients that I am taking all the appropriate action to ensure everyone’s health and safety is protected. This will include the following steps:

• I will be increasing the frequency of handwashing and sanitising and will ask that you do the same during your session.
• I will provide both hand sanitiser and masks, this will not me mandatory but you will have access to a mask if you wish.
• I will be wearing a mask at all times.
• I will be cleaning all surfaces, fabrics and props between sessions to avoid any cross contamination.
• In line with the government guidelines I will be practising social distancing (1 meter) where possible, I will ask you to assist with positioning your baby with my guidance to avoid any unnecessary contact.
• I will be leaving 24 hours between each session to ensure the studio is sterilised and sanitary.
• I will stay updated with the government guidelines in case of any changes.

I understand that this is a difficult time and the safety of your children is your highest priority which is why I will do everything possible to minimise risk, I also promise that your session will still be just as fun and you will come away with some precious memories captured of your children.
